How Does it Work?

The ClarionCall messaging system can only be accessed by authorized staff with a password. The servers that hold your members’ contact information are extremely secure. Furthermore ClarionCall never pass this information on to any third parties.Members information can be uploaded quickly from existing systems or spread sheets – this limits the need for double data entry. Alternatively, members and authorised managers contact information can be individually added, edited and deleted by the Club Administrator.Members access the ClarionCall service from either their mobile to read messages. E-mail copies of text messages can be sent for additional confirmation. ClarionCall also provides a secure,feature rich, group e-mail function for routine correspondence with members.
Clubs can access the ClarionCall service from any PC connected to the internet. No extra hardware is needed - only an existing internet connected PC. The system will normally be used by the Club Managers or Central Administrator but can, of course, also be used anywhere on or off site, 24 hours a day - even when facilities are closed or unavailable. The day-to-day, on site Administrator can add, edit and delete members and staff from the ClarionCall system as well as create ClarionCall Groups and Teams. A ClarionCall Group is a subset of members - an age group, a rugby team, an end of season party - which enables you to send relevant messages to smaller, specific groups of members.There is no practical limit to the number of administrators who can be given full access to the ClarionCall service.
Members can be set as Managers of a particular group or groups – for example, the chairman of the mini's section might also be the manager of the Under 11s age group.Managers can login to the ClarionCall service and send text and e-mail messages only to the members of the groups they manage.
A simple text message is easily typed and sent to a group, or the whole club if necessary, with one keystroke.The system then sends your text message to all members in the group quickly and efficiently.Optionally, a copy of the text message can be sent to members by email for additional confirmation.The club name appears in the ‘From:’ box of your text message, reassuring members that this is an official club message and preventing confusion for members at more than one club using ClarionCall.
An e-mail can be composed and sent from any PC with an internet connection and sent to a group, or the whole club if necessary.ClarionCall e-mail allows you to compose rich text messages including mail merge, embedded weblinks and attachments of up to 3MB.Using e-mail for routine correspondence such as club newsletters cuts down on the amount of paper sent out by the club – both cost-effective and environmentally friendly – and ensures that your message is delivered directly to a member's desktop.ClarionCall e-mail can also provide a third means of communication in an emergency, particularly in a situation that may have compromised mobile networks.
A Text2Text message can be composed and sent entirely from a Club manager's personal mobile phone. The message can be sent to any group, including the Club Directory, thereby allowing a manager to send a message to all Club members if required. A message is simply sent to the ClarionCall Text2Text number along with a group number and the system will send the message to the members of the specified group.Text2Text can be a powerful tool for managers who need to contact Club members but do not often have access to PC.
The Club Administrator can access unique real time delivery information for both text and voice messages from any PC.Text delivery allows you to track the exact status – from pending to delivered – of your message to each member, allowing you to target directly those who have not received your message.E-mail delivery reports allow you to track the exact status of your message - from sent to read, allowing you to target directly those who have not received or read your message.
