School On Site![]() Schools can access the ClarionCall service from any PC connected to the internet. Any phone (landline or mobile) can be used to record and send voice messages to parents. No extra hardware is needed - only an existing internet connected PC. The system will normally be used by the School Office or Network Manager but can, of course, also be used anywhere on or off the school site, 24 hours a day - even when the school facilities are closed or unavailable. The day-to-day, on site School Administrator can add, edit and delete parents, pupils and staff from the ClarionCall system as well as create ClarionCall Groups. A ClarionCall Group is a subset of pupils - a year group, a rugby team, a group trip to the theatre - which enables you to send relevant messages to smaller, specific groups of parents. There is no practical limit to the number of administrators who can be given full access to the ClarionCall service. Off-site![]() Members of school staff can be set as Managers of particular groups of parents – for example, the Head of Sports might be the manager of the football team’s ClarionCall group. Managers can login to the ClarionCall service and send text and e-mail messages to the parents of the groups they manage only. Managers can also record a voice message for the parents of any group of pupils from any mobile or fixed phone. This allows them to provide accurate information directly and without delay. Sports matches rained off, school trips delayed by traffic, or just confirmation that all on an international trip have arrived safely - managers in charge of these groups can easily keep parents informed through ClarionCall. ClarionCall![]() The ClarionCall messaging system can only be accessed by authorized school staff with passwords and pins. The servers that hold your parents’ contact information are also secure and we do not pass this information on to any third parties. Parent and pupil information can be uploaded quickly from existing school MIS systems – this limits the need for double data entry and ensures that ClarionCall uses your most up-to-date contact information for parents. Alternatively, parent, pupil and staff contact information can be individually added, edited and deleted by the School Administrator. Parents access the ClarionCall service from either their mobile or a fixed phone to read and listen to messages. E-mail copies of text messages can be sent for additional confirmation and ClarionCall also has an e-mail function for routine correspondence with parents. Text Message![]() A simple text message is easily typed and sent to a group, or the whole school if necessary, with one keystroke. The system then sends your text message to all parents in the group quickly and efficiently. Optionally, a copy of the text message can be sent to parents by email for additional confirmation. The school name appears in the ‘From:’ box of your text message, reassuring parents that this is an official school message and preventing confusion for parents with children at more than one school using ClarionCall. Voice message![]() A voice message can be recorded from any mobile or landline and sent to a group, or the whole school if necessary. Once you have selected to send your voice message, the system will send a text message to all parents in the group concerned informing them that they have a new voice message and asking them to call in. The voice message number is included in the text message for ease of use and the school can choose to include a personalised text footer at the end of every automatically generated voice message text alert. Parents can retrieve their voice message from either a mobile or a fixed line phone and the call is charged at their standard network rate. ![]() An e-mail can be composed and sent from any PC with an internet connection and sent to a group, or the whole school if necessary. ClarionCall e-mail allows you to compose rich text messages including mail merge, embedded weblinks and attachments of up to 3MB. Using e-mail for routine correspondence such as school newsletters cuts down on the amount of paper sent out by the school – both cost-effective and environmentally friendly – and ensures that your message is delivered directly to a parent’s desktop. ClarionCall e-mail can also provide a third means of communication in an emergency, particularly in a situation that may have compromised mobile networks. Message Feedback![]() The School Administrator can access unique real time delivery information for both text and voice messages from any PC. Text delivery allows you to track the exact status – from pending to delivered – of your message to each parent, allowing you to target directly those who have not received your message. Voice message delivery reports also allows you to view the status of each parent’s voice message text alert and produces an on-screen report of exactly which parents have rung into the system to receive your message and when. This can act as an example of the school’s crisis management and allows you to contact directly those parents who have not yet listened to your voice message. |
